Managing Your Team

Firm Administrators can invite staff, configure roles, and remove members to control access across the firm’s workspace.

Only users with the Admin role can access the Team Management dashboard. Accountants and Client Contacts are blocked.


Role Permissions

Complyax categorises users into three roles:

AdminFull access to firm-wide settings, billing, team management, integration configuration, and final sign-off authority for VAT and HMRC drafts.
AccountantOperational access to run VAT reconciliations, draft HMRC replies, prepare management accounts commentaries, and update client records. Restricted from billing and final approvals.
Client ContactExternal client portal access only, restricted to uploading files and viewing checklist items.

Adding a Team Member

Open the Invite Modal

Click the + Add Team Member button in the top-right corner of the Team Management dashboard.

Enter Member Details

  • Full Name — The user’s name (e.g. James Wilson).
  • Email Address — The user’s email address, which serves as their login username.
  • Select Role — Select either Admin or Accountant.
  • Phone (Optional) — The user’s contact number.

Save the Member Profile

Click Add Member. The user profile is created immediately, and they can log in using their credentials.

The default login password for new members is password. Users should change their password immediately after their first login.


Editing Member Profiles

To modify a team member’s role or contact details:

  1. Locate the member in the active list.
  2. Click Edit in their row.
  3. Update their name, role, or phone number in the Edit Team Member modal.
  4. Click Update Member.

Removing Team Members

If a team member leaves the firm, their access should be revoked:

  1. Locate the member in the active list.
  2. Click Remove in their row.
  3. Click OK on the confirmation prompt (“Remove [Name] from the firm? This cannot be undone.”).
  4. The member’s account is permanently deleted.
