Compliance Calendar

The Compliance Calendar provides a visual, 7-day rolling schedule of all statutory and internal firm deadlines. It serves as a real-time monitor of the practice’s outstanding obligations.

Only users with the Admin or Accountant role can access the Compliance Calendar. Client Contacts are restricted.


Urgency Mapping

Deadlines on the calendar are colour-coded to help team members prioritise their day:

Synchronising Statutory Deadlines (Admin Only)

Admin users can synchronise the calendar with connected APIs:

  1. Click Sync APIs 🔄 in the top-right corner.
  2. The system pulls filings, annual accounts deadlines, and VAT return obligations directly from connected integrations (Companies House, HMRC, Xero, and QuickBooks).
  3. The calendar is automatically populated with these dates.

Adding Custom Deadlines

In addition to automated statutory dates, preparers can add internal practice deadlines (e.g. payroll checks or review milestones).

Open the Creation Modal

Click Add deadline in the top-right corner.

Enter Deadline Details

  • Deadline Name / Type — Enter the title of the task (e.g., Payroll Review March).
  • Due Date — Select the target completion date.
  • Workflow Type — Select a matching workflow category: VAT, Accounts, Payroll, Tax Return, HMRC, or General.
  • Linked Client — Select the relevant client from the dropdown list.

Save the Deadline

Click Save. The custom deadline will immediately appear on the calendar strip.


Identifying and Resolving Blockers

If a compliance task cannot proceed because the client has not supplied the necessary records, the calendar entry displays a Blocked status.

  • Visual Badge: Flags the date card with a red blocker indicator and details the obstruction (e.g., “Blocker: Bank Statement December”).
  • Clearing Blockers: Once the missing document is uploaded by the client via their portal, the blocker status is automatically removed, and the card updates to a green Ready state.

Managing Calendar Assignees

Each calendar card displays the assigned owner’s name (e.g., 👤 John). If a task has not been allocated to a caseworker, it shows as Unassigned in red. This helps administrators verify that every filing has a designated preparer.


  • Month Selector — Use the dropdown selectors or the < and > buttons to jump to different months and years.
  • Scroll Strip — The day strip displays days of the selected month horizontally. If the selected month is the current month, it automatically scrolls to center today’s date.
  • Client Filter — Filter the calendar to display deadlines for a single client using the All Clients dropdown in the calendar header.
  • Direct Workflow Navigation — Click on any calendar card to jump directly to its workspace. For example, clicking an HMRC Enquiry card navigates to the HMRC Enquiries page with the notice selected.
